How To Implement An IT Strategy

By Hilaria Ramos

The use of computers within the workplace has changed a lot since their first implementation, which was mainly done at departmental level. In those days no thought was given to compatibility issues and communication. Most computers worked on a stand-alone basis so communication was done face-to-face, and documents printed out and mailed. Communication over a network, and data transfer, are second nature these days, so an IT strategy must address these changes.

The problems that most companies have when trying to develop a coherent strategy for their business is mainly historical. As departments had grown within the business, each manager was responsible for the software used within their team. They did not pay much heed to whether it was going to be compatible with any other part of the company. This problem has become exaggerated as businesses merge.

When developing a plan to overcome these issues, and take the company forward with regard to information technology, there needs to be high-level discussions between the various business managers and the IT manager. Before these can be held, a survey of the technology that is already in place has to be made, and any issues raised. The business managers need to meet and determine the company goals, and the budget available.

The IT manager has a responsibility to determine the equipment that can still function within the new plan, therefore reducing costs. This means that more of budget is available for upgrades. Opinions will differ on what is required, as all departments will have their own specific requirements. In order to be subjective in this, it might be wise to hire an external consultant. Their neutrality, and previous experience, could save a lot of time and money.

After an IT strategy has been formulated, in order to make it run smoothly, communication is vital. It might be that the departmental managers can see problems that are not directly IT related, but will affect business efficiency. There will always be people who will reject any changes to their work-flow, whereas others will embrace them. This is why communicating the plans, and the reasons for them, is extremely important in any strategy change.

Projects of this kind can also be influenced by external forces. Technology and user requirements are changing all the time so a risk assessment of the overall strategy must be made. Because of this, it is wise to work to milestones and be prepared to tweak the strategy to keep the plan progressing to a satisfactory conclusion.

If the idea of upgrading the computer systems within your company, and making sure that they all are compatible might be very daunting, especially if you have a tight budget. It might be better to approach a consulting agency that will have seen the problems you are facing before. On the face of it, it might seem an expensive route to take; however, it could save you a lot of money and manpower in the future.

When you put an IT strategy into place, you are doing it so that the different departments, and sites, that make up the company can work together more efficiently. By doing so, the IT support team will be able to reduce downtime when a problem occurs. It is possible to achieve this goal if the whole process is planned carefully and everybody affected is kept informed.
